How IQS works in Saratoga, NY

The Saratoga County Clerk’s Office contains thousands of land records dating back to its inception in 1791. The vast majority of those records were found in paper format. This huge amount of paper made it cumbersome to access documents.

In 2006, the Saratoga County Clerk’s Office chose IQS as their records management vendor. IQS worked with the Honorable Kathy Marchione, Saratoga County Clerk, and her staff to implement a number of innovations in order to create a comprehensive electronic records management system. IQS streamlined the Saratoga County Clerk’s Office by using IQS’s suite of records management products. In less than two years, the County had a fully digital, searchable database of their land records from 1791 to date in the Solution Records Management System.

At the same time, Saratoga elected to digitize court records using IQS’s unique court filing system, part of the Solution Records Management Suite. Additionally, IQS worked in conjunction with staff to not only digitize present court records but to add past court records to the system as well. Currently, Saratoga County has all court records dating 1988 to present now digitized in the system.

When an abstractor comes to record a document, a staff member checks the document over and the Solution software automatically calculates applicable fees. The record is scanned into the system and is immediately available as an unverified document on the public terminals. It is then indexed by the County and verified by IQS to ensure accuracy––all in the same day. These records are simultaneously found online and are available 24/7 to Saratoga’s customers.

A unique mix of IQS’s products has enabled Saratoga County to more completely integrate their records into a system that now contains over 10.5 million pages of land and court records. The partnership between the Saratoga County Clerk’s Office and IQS has resulted in improved access and efficiency for both the staff and public alike.
